How to use the Clock-on tool

The Clock-on tool helps record volunteering hours by allowing volunteers or managers to easily clock on when they start a shift and clock off when they finish. This can be done alongside a program schedule or instead of one.

Note: This feature is available to Premium and Essential tier plans only

How to access the Clock-on tool

There is a Clock-on tool per program, so hours are assigned correctly.

  1. Navigate to the program and select the Schedule tab

  2. Select the Clock-on tool button

  3. When the new tab loads, you will see a QR code. Print/display this QR code so volunteers can clock in and out using their own devices.

  4. Access the Clock-on tool from here by selecting the link below the QR code, Open Clock-on form. Keep this form open if you would like volunteers or managers to clock in and out from a single device.

How to Clock-on a volunteer

  1. From the Clock-on form, start typing the volunteer's name in the volunteer field. After three letters, suggestions will appear. Select the volunteer from the dropdown list.

  2. Next, select the shift they were scheduled for from the dropdown field. If no shift is scheduled, select the Unscheduled/Shift Not Found option.

  3. Once you have your shift selected, the Clock on button will appear. Select it

What if the volunteer's name does not appear?

For volunteers to be successfully clocked on and off, they will need to be a part of the program. See how to assign volunteers to programs. If they are part of the program and you cannot see their name on the volunteer drop-down, try the following:

  • Refresh the page and try again, making sure you are spelling it correctly. You only need to type the first three letters to get some results

  • Double-check the program name. Are they part of this program?

What does the 'Unscheduled / Shift not found' option mean?

Selecting this option records the volunteer's hours and produces a timesheet, but it's not linked to a shift on the schedule.

How to Clock off a volunteer when they leave

To clock off, repeat the steps used to clock on.

  1. Start typing the volunteer's name, then select it from the drop-down list.

  2. Select the shift in the Shift dropdown field.

  3. Once you have selected your shift, the Clock off button will appear. Select it.

Done!

What if the volunteer does not clock off?

At midnight, INVOLVE will automatically clock the volunteer off. A timesheet will be recorded, and you can view and edit this to correct the hours.

How can I see the recorded times?

All shifts recorded using the Clock-on tool will appear as timesheets when the volunteer clocks off at the end of the shift.

  1. Navigate to the program

  2. Select the Timsheets tab to view all timesheets automatically created through the clock-on tool or the schedule

⭐ TIP: All timesheets automatically created using the Clock-on tool will have a status of Submitted. Timesheets with a status of Submitted or Approved will appear in reports.

How can I see who is clocked-on?

Volunteers who are clocked on will appear with a green circle around their avatar. You can also view a list of volunteers who are clocked on, including their time and any associated shifts. To see this list:

  1. Navigate to the program and select the volunteers tab

  2. Select the clocked-on tab above the list of volunteers
