Navigating around INVOLVE

INVOLVE is an online app designed to help organisations of any size manage their volunteers and volunteering programs. We aim to make managing volunteers easier so you can focus more on helping the community.

The INVOLVE interface

We have four main areas that most pages are split into:

  1. Navbar - Access your organisation, volunteers and program sections from here; more on this below

  2. Header - Holds the sub-navigation of the section you are currently viewing and access to your account settings

  3. Toolbar - Contains actions to import, export or add to the data in the Main Pane

  4. Main pane - Lists the data of the section you are currently viewing, along with actions to manipulate it

The Navbar

The Navbar will give you access to the main sections of INVOLVE:

  1. My Organisation - details and settings of the organisation and staff can be found here, along with billing

  2. My Volunteers - all volunteers within the organisation are listed and can be managed from this section

  3. The Programs - each program is managed in its own section

Each section has a sub-navigation or action bar in the header. We'll explore the sections next.

NOTE: Certain staff roles cannot access all sections; find out more when adding staff.

My Organisation Section

My Organisation contains details and organisation settings, like the default timezone and onboarding checklist templates. It is also where staff are added, important files can be stored, and organisation-wide reporting can be accessed. The Billing Owner will also be able to manage the organisation's INVOLVE subscription details.

NOTE: The My Organisation section is only accessible to staff who have been assigned the role of Organisation Administrator or are the Billing Owner.

My Volunteers section

My Volunteers contains your organisation's volunteers. Here, you can add, search, and view or edit individual volunteers. The volunteer profile is discussed next in this article.

What you can do from My Volunteers:

  1. Import and Export - Upload a CSV and match the data in our import modal. Likewise, you can export all or even a subset of your volunteers (eg all those currently onboarding)

  2. Create volunteer - Individually add a new volunteer record

  3. Filter volunteers - search keywords or filter your volunteers by location, status, skills and more

  4. Saved groups - You can save any search made as a separate tab or group, and any new volunteers who match will be automatically added.

  5. Volunteers - here is the list of the volunteers, the programs they have been assigned to, their status and the onboarding checklist, all of which can be edited from this view. Selecting the volunteer's name will bring up their full record

Note: The My Volunteers section is only accessible by staff assigned the role of Organisation Administrator, Volunteer Manager or Billing Owner.

The Volunteer Record

Each volunteer in your organisation can have as little or as much information as you like. We have three different views for you to store information in:

  • Overview - personal information, onboarding status, the programs they are in and a timeline

  • Profile - detailed information like skills, interests, volunteering history, certificates and training they do with your organisation

  • Notes - notes that only your staff can see

In addition, there are four other views relating to the volunteering they do with your organisation:

  • Schedule - all shifts assigned to the volunteer can be viewed and edited from here

  • Timesheets - all timesheets added for volunteering hours can be viewed and edited here.

  • Reimbursements - all reimbursements paid to the volunteer are stored here

  • Recognition - any achievement or awards given to the volunteer to recognise the volunteering they have done

My Program section

Each program contains a sub-group of your organisation's volunteers, schedule, and reports.

  1. Program settings dropdown - Edit the program details and manage roles and activities.

  2. Assigned staff - which staff have been assigned to manage this program

  3. Sub navigation - access the different program views, including the list of volunteers assigned to this program, the program schedule, timesheets, files, reimbursements, recognitions and reports.

  4. Schedule view and navigation - you can view the schedule by day, week or month.

  5. Email - bulk send the schedule to the volunteers who have been assigned shifts

  6. Schedule - highlights the current day, greys out any public holidays and days volunteers have indicated they are not available.

Note: Program Coordinators must be assigned to the program to view it.
