How to: set up your onboarding process

INVOLVE has two features, checklists and statuses, to give you a flexible way to set up your organisation's onboarding process. This article will show you how to use and customise them.


To begin with, customise your volunteer list to show both the checklist and status:

  1. Navigate to My Volunteers
  2. Select the Customise button located on the right-hand side above the volunteer list
  3. When the slide-out appears, turn on Checklist and Status and turn off everything else
  4. Close the slide-out to return to your list


The onboarding checklist

A checklist of the steps your volunteer needs to go through to volunteer with your organisation. For example, are there training sessions, or specific information or documentation, that need to be provided? They can be added as checklist items and checked off against each volunteer.


How to check off a volunteer's items:

  1. Navigate to My Volunteers
  2. Select the checklist indicator in the volunteers row
  3. Check off items and select the Save button at the bottom of the modal

If you do not see the checklist column in your list view, turn it on by selecting the Customise button.


⚙️ How to customise the checklist

  1. Navigate to My Organisation
  2. Select the Settings tab
  3. Find and select the Manage onboarding checklist row
  4. When the modal appears, you can addedit, delete, or reorder the items.
  5. When you're done, select the button at the bottom of the modal. All volunteer records will be updated with the new template changes

Premium users have additional checklists per program, giving greater control of onboarding. For example, only one of your programs works with children, so only volunteers wanting to join it need to provide a children's check.


Volunteer statuses

There are three main status groups: Pending, Active, and Inactive. Each group has a starter status, and for the Pending group, it is 'Onboarding'. You can leave this as is and set it for new volunteers working their way through the checklist. Or you can break it down to as many as you need. For example, 'New', 'In training', 'Waiting for checks', or 'To be followed up'.


How to change a volunteer's status

  1. Navigate to My Volunteers
  2. Select the status cell in the volunteers row
  3. A dropdown will appear, allowing you to select the new status for this volunteer

If you do not see the status column in your list view, turn it on by selecting the Customise button.


Grouping your volunteers by status

Filtering volunteers by status and saving the results as a tab will give you a "live list" of volunteers with that status. Saving it also means you can come back to it without having to filter each time. For example, let's save a list of volunteers who have the status 'onboarding':

  1. Navigate to My Volunteers
  2. Select the 'Status' button located next to the search box above the volunteer list
  3. When the modal appears, select onboarding
  4. Select the 'Apply filters' button. This gives you a list of volunteers with that status
  5. Select the save search and name it 'onboarding'

When you change a volunteer to or from this status, this list will update automatically


⚙️ How to customise your statuses:

  1. Navigate to My Organisation
  2. Select the Settings tab
  3. Select the Volunteer Statuses row
  4. When the modal appears, add, remove or edit the statuses


Example scenarios

Standard Volunteer Onboarding

A community centre adds a new volunteer and sets their status to Onboarding. As documents are received and induction is completed, staff tick off each item in their onboarding checklist. Once all items are complete, the volunteer's status is changed to Active, and they can begin volunteering.

Example checklist items:

  • Volunteer consultation complete
  • Police check verified
  • Volunteer agreement signed
  • Induction completed

This works well to provide clear visibility of progress at a glance, ensures nothing is missed, and makes it easy to filter and see which volunteers aren't ready yet.

Tracking Milestones when Onboarding

A staff member in charge of organising induction sessions filters the volunteers to identify those with an Induction needed status and messages them with upcoming induction times. Once they verify the volunteer has completed the session, they change their status to Active.

Example checklist items:

  • Application processed
  • Interview
  • Check references
  • Send acceptance offer and policy documents
  • Induction complete

This works well to help the manager clearly see who is at this stage and to keep the onboarding process moving.

Program specific onboaring (Premium plans)

A youth mentoring program run by a community organisation requires additional screening. Volunteers joining that program must complete additional checklist items before they can begin. The organisation completes the general onboarding checklist, then assigns the volunteer to the youth mentoring program. Here, their checklist is extended, and the program manager continues the onboarding process.

Example program-specific checklist items:

  • Working with Children's Check approved
  • Training session 1 complete
  • Training session 2 complete

This works well as it provides granular onboarding processes per program to reduce the amount needed for an organisation's general volunteers.
